Marinus Analytics has offices in Pittsburgh and London. We are a women-owned business founded in 2014 from Carnegie Mellon University’s Auton Lab. Our team is expanding, and we are looking for an Executive & Operations Assistant to support our company leadership.

Executive & Operations Assistant (EA)

This role will primarily be responsible for assisting the executive and senior management of the Pittsburgh headquarters office and for providing high-level administrative support, ensuring the smooth operation of daily activities and contributing to organizational efficiency. The EA will act as a gatekeeper and strategic partner, handling sensitive information and making independent decisions.

In addition to EA responsibilities, cross-functional support is needed for operations and business development teams. This would include maintenance of Customer Relationship Management data input. This role will also engage in culture building and office management. The candidate is expected to work from our Pittsburgh office, located in the North Side. Position is immediately available.

POSITION RESPONSIBILTIES

Executive Assistant:

·      Manage executive calendars, schedule meetings, and coordinate appointments.

·      Handle correspondence, including emails and calls, on behalf of the executive.

·      Organize travel arrangements, including flights, accommodations, and itineraries.

·      Plan and manage events, such as board meetings or team gatherings.

·      Monitor office and post office mailboxes and general email inboxes

·      Maintain and organize confidential files and records.

·      Conduct research and provide recommendations to support decision-making.

·      Oversee special projects and track progress to completion.

·      Anticipate the needs of the executive and proactively address them.

Customer Relationship Management (CRM)

·      Conduct regular audits to ensure data accuracy and cleanliness.

·      Synchronize customer and user data in CRM system (HubSpot).

·      Customize properties, views, and dashboards to meet organizational needs.

Office Manager

·      Act as the first point of contact for HR-related queries and assist in maintaining personnel records, and updating internal records.

·      Promote a positive and welcoming environment for the team.

·      Update internal attendance records (e.g., record sick or maternity leave).

·      Revise company policies and ensure legal compliance.

·      Liaise with external partners, like insurance vendors.

·      Create reports and presentations on HR metrics (e.g., turnover rates).

·      Arrange travel accommodations and process expense forms.

·      Organize company participation in local job and recruiting fairs.
